How Gala goes live: set up for you, in about a week

Gavion sets Gala up for you. You do not build anything, install anything or buy hardware. A typical launch takes about a week.

Most of that week is not technical. It is the time it takes to build and validate the knowledge base Gala answers from. Connecting your phone line is quick, and you keep the number your customers already call.

The five steps from first call to a live line

  1. Discovery call. We look at how your business runs today: the calls coming in, the work piling up behind them, the tools you use, and what you want Gala to handle. Nothing is configured yet. The goal is to agree on the scope.
  2. Knowledge base and guided setup. We assemble your knowledge base from your website, your listings and public registries: services, prices, service areas, emergency rules, and what Gala is allowed to say. We connect your calendar and your CRM, or import your client list.
  3. Your validation. We send you a validation sheet that flags contradictions and gaps. You correct it once, line by line. From then on, that document governs every answer Gala gives.
  4. Testing and go-live. We run real scenarios with you, from live calls to bookings, and tune the greeting, the tone and the rules. Then your calls are forwarded to Gala, and it starts answering.
  5. The first weeks and ongoing tuning. You review the first weeks of calls. We keep tuning Gala as your business changes, with 24/7 support and a bilingual team based in Québec.

Why it takes about a week, and what sets the pace

The phone side is fast. What takes time is getting your business down on paper, in a form Gala can answer from without guessing.

You do not train Gala in the technical sense. You give it a validated knowledge base: your services, your rates, your service areas, your emergency policy, and the way you name things. We draft it, you correct it, and that version is the one Gala uses.

So the pace is set by one person on your side: whoever validates the knowledge base. Name that person before you start, not after. When they turn the validation sheet around quickly, the week gets shorter.

What we do, and what stays with you

The setup is done for you. Gavion configures, connects and manages Gala. The part that stays with you is validation, because nobody knows your prices and your emergency rules better than you do.

Your number, your client list, your tools

You keep your current business number. Gala works through simple call forwarding, so customers keep calling the number they already know. We set it up with you during onboarding.

Your client list comes over too. We connect Gala to your CRM or import your list during setup, so it recognizes existing customers and keeps their records up to date.

Booking works natively with Google Calendar and Microsoft Outlook. If another tool has an API or a webhook, we can usually connect it, and custom integrations are part of every setup. Nothing gets ripped out: bookings and call notes land in the tools your team already uses.

What you decide before launch

You set what Gala says, including what it is not allowed to say. Those guardrails matter as much as the answers themselves.

What you do not need

There is nothing to install and no hardware to buy. Setup costs $0 on every plan.

Gala is hosted. Calls come in over the phone network and are handled on our servers. Nothing depends on your office connection or on a computer being switched on. You only need internet or mobile data to check the dashboard and your messages.

After launch: the first month, then every quarter

Start with inbound calls, not everything at once. Then listen to the first month's recordings. That is where you find the handful of questions your customers ask that nobody thought of, and each one becomes a line in the knowledge base.

After that, the risk is a knowledge base that goes stale. Prices change, a service is dropped, a territory is added, and nobody tells the tool. A 30-minute review each quarter prevents it. We keep tuning between reviews, and support is there 24/7.

Questions about setup

Do I have to build it myself, or is it done for you?
The setup is done for you. Gavion configures, connects and manages Gala: your calendar, CRM, phone number and accounting tools. The part that stays with you is validation: you confirm the knowledge base, your services, your rates and your emergency policy, and you review the first few weeks. Name the person responsible before you start.
How long does setup take?
Most of the delay isn't technical. It's building and validating your knowledge base: services, prices, service areas, emergency rules, what Gala is allowed to say. We assemble it from your website, your listings and public registries, then you validate it line by line. Connecting the phone line itself is quick.
Can I keep my current business phone number?
Yes. Gala works with your existing number through simple call forwarding, so customers keep calling the number they already know. We set this up with you during onboarding.
Can I import my existing client list?
Yes. We connect Gala to your CRM or import your client list during setup, so it recognizes existing customers and keeps their records updated automatically.
