AI receptionist ROI calculator

Three numbers you already know, one honest estimate. No industry averages, no email required.

Every missed call is a customer dialling the next company on their list. This calculator turns that into a monthly figure using your own inputs: what a job is worth to you, how many calls you miss, and how many of those you would normally close. It then subtracts the plan price, which comes straight from our price list, so the estimate can never quote a stale number.

It is an estimate, not a promise. Use it to decide whether the question deserves a closer look, then measure over three months on your own records.

Run your numbers

Pick a plan, add users if your team needs them, then move the three sliders. The result updates as you go.

How the estimate works

Recovered revenue = missed calls per month × close rate × average job value. Net return = recovered revenue minus the monthly plan price (plus any additional users you added).

The plan price is the promotional price on the pricing page, or the monthly equivalent of the annual price when you toggle annual billing (15% off). Overage minutes are not included in the estimate: 250 minutes covers a lot of calls, and the overage rate is printed on every plan if you want to add it by hand.

A worked example

A plumber charges about $350 per job, misses 20 calls a month while on site, and normally closes 40% of the calls they do answer. Recovered revenue: 20 × 40% × $350 = $2,800 a month. Minus the $129 entry plan, that is $2,671 a month.

Be pessimistic and it still holds. At a 10% close rate the same inputs recover $700, or $571 after the plan. One recovered job pays for the month.

What counts as a missed call

If you do not know your number, check your phone's call log for one month and count the inbound calls you did not answer. That is the missed-calls slider.

Where the numbers come from

The plan prices, included minutes and add-on rates are read from the same price list that renders the pricing page, so a price change here is a price change there. Your inputs are yours. Nothing on this page uses an industry average, because the average business is not your business.

Is it worth it for a business with fewer than five employees?

Run the math on your own numbers instead of an industry average. Multiply the average value of a signed job by the number of calls you don't pick up in a month — on site, driving, at supper. If that figure clears CA$129, one recovered job covers the subscription. Micro-businesses are exactly where the gap is widest, because nobody else is answering.

How long does it take to see ROI?

Payback is measured in jobs, not months. On the CA$129 Essentielle plan, a single call that turns into a job worth more than CA$129 pays for the month. On the CA$279 Assistant Administratif, add the receivables effect: one CA$1,500 invoice collected four weeks earlier changes your month. Measure over three months, not three days.

How many hours a week does it actually save?

It depends on what you're currently doing at night. Add up the real time your admin work takes in one week: returning calls, booking jobs, putting quotes together, chasing unpaid invoices, coordinating crews. That block is what Gala takes over. Time it for one week before you start and you'll have your own exact baseline.

Frequently asked questions

Does the calculator include overage minutes?

No. It uses the plan price plus any additional users. If you expect to go past the included minutes, add the overage ($0.37 to $0.33 a minute on the Receptionist plans) to the cost by hand.

What close rate should I use?

The share of answered calls that turn into paid work today. Most trades land between 30% and 60%; if you are unsure, start low and see whether the result still clears the plan price.

Does it work for the Admin Assistant plans too?

Yes. Switch the product at the top of the calculator. The Admin Assistant plans include the full Receptionist plus quoting and a full CRM, so the same missed-call math applies with a higher plan price.

If the number clears the plan price, the next step is a fifteen-minute call. Book a demo · See pricing
